AmCham Azerbaijan is looking for Administrative Assistant.

Main tasks and responsibilities:

Front of the House/Receptionist duties

• sending, receiving, archiving all incoming and outgoing correspondence (labels, courier management=>reconciliation)

• greeting visitors

• answering phone calls, re-direct calls as appropriate and take adequate messages when required

• responding to walk in and email informational inquiries



Membership Administration

• couriering mass member distributions ( publications, M2M cards, event hardcopy invitations)

• sending mass email invitations (reminders) to members and guests

• general (large scale) phone follow up to invitations



Events

• venue reservation

• any other administration related to the event (as requested in writing by the function owner-arranging the            interpreters, photographers, etc)

• arranging coffee/tea break kits before the meeting

• attendee registration

• agenda, attendee list, handout distribution during the meeting

• taking photos and sound record from the meeting

• filing attendee lists in e-AmCham

Knowledge Management

• outlook database

• administrative, NOT operational filing

• archives



Office Management

• ordering, monitoring stock of office supplies

• Coordinate the repair and maintenance of office equipment

PA to Executive Director

• managing ED's calendar and schedule appointments

• arranging travel and accommodation

• screening telephone calls, enquiries and requests, and handling them when appropriate;



Other

• dedicated assistance to peers (as set/approved by ED)
